Faculty and Staff Use of Library Facilities and Services

Borrower Eligibility

All current Collin College faculty and staff are eligible for library privileges. Faculty and staff must present a current Faculty/Staff ID card to the library Circulation Desk to be entered into the library system. Upon leaving the employ of Collin College, faculty and staff are eligible for community patron cards if they reside in Collin County.

Borrower Responsibilities

  • The borrower is responsible for returning materials on time and in good condition. As a courtesy, the library will attempt to send overdue notices in a timely manner either by email or inter-college mail.
  • The borrower is responsible for reporting damaged or lost items at the Circulation Desk.
  • The borrower must pay the cost of the damaged or lost items, plus a processing fee.
  • The borrower is responsible for notifying the Circulation Department of a lost or stolen library card.
  • The borrower is responsible for notifying the Circulation Department of a change of address or telephone number.

Circulation of Materials

Checkout Procedures

  • Faculty/staff must present a Collin College Faculty/Staff ID/Library Card for all circulation transactions.
  • Faculty/staff with overdue items are denied permission to check out materials.

Limits by material type

  • Audio Books: 5 (by title/barcode)
  • Music CDs: 5 (by title/barcode)
  • Books: 20
  • VHS/DVDs: 3
  • Software: 3 (by case/barcode)
  • Total items checked out, any format: 30

Length of checkout period

  • Audio Books: 6 weeks
  • Books: 6 weeks
  • Music CDs: 3 weeks
  • Software: 3 weeks
  • VHS/DVDs: 2 days
  • Reserve Materials: 2 hours in-library use only (unless otherwise stated)
  • AV Faculty Use Only Materials: 4 days
Periodicals and reference materials do not circulate and are to be used in the library. Due dates exclude holidays and days the Collin College campuses are closed. The library reserves the right to recall any materials.

Renewals/Holds/Transfers

Items may be renewed if there are no outstanding fines, overdue material or holds.

Three (3) renewals are allowed per item. Renewal of material can be done by phone or online. Software, music CDs, and VHS/DVD cannot be renewed by phone or online. Materials must be renewed prior to due date if renewing by phone or online. Overdue materials may be renewed in person if others are not waiting for the items. Items must be presented for renewal if they are overdue.

Items that are checked out or “in process” may be placed on hold. Circulating items available at other campuses, with the exception of software, music CDs, and VHS/DVD material, may be placed on hold and transferred. The libraries do not have a materials booking system and cannot guarantee the availability of materials for dates in the future.

Due to high demand and the short checkout time period, software, music CDs, and VHS/DVD material cannot be placed on hold and transferred to other campuses. These materials may be returned at any campus.

AV Faculty Use Only materials cannot be transferred between campuses. Faculty can borrow AV Faculty Use Only materials in person at all campuses. Faculty can request that a campus library purchase any needed AV Faculty Use Only material. The libraries do not have a materials booking system and cannot guarantee the availabilty of materials for dates in the future.

Overdue Fines

Faculty and staff do not pay fines on print materials but do pay fines on overdue media items which are for personal use. Faculty and staff are responsible for all lost and/or damaged materials.

Fines accrue on a daily basis except for holidays and days Collin College campuses are closed. All fines are handled through the Circulation Department.

  • Books: n/a
  • Music CDs: .25
  • VHS/DVDs: 1.00
  • Software: .25
The maximum fine is $15.00 per item. Any unresolved fines or unreturned items block borrowing privileges.

When materials are damaged, a repair fee of $5.00 is assessed. A librarian will evaluate the damaged material for possible repair. If the material is damaged beyond repair, the patron will be charged the cost of the material and a $5.00 processing fee.

When materials are lost, the patron is charged the cost of the material and a $5.00 processing fee. No refund is given.

Check and Credit Card Acceptance

The Circulation Desk will not accept:
  • Two party checks
  • Temporary checks
  • Checks in the absence of a corresponding driver’s license. The driver's license number and license expiration date will be recorded on the check.
  • Out of state checks
  • Credit cards
A service charge will be added by the Bursar’s office on all returned checks. Payment by credit card can be arranged through the Bursar's office.

Security Gate

  • Patron must return to the Circulation Desk if the alarm sounds.
  • Patron will remain at the Circulation Desk until the cause of the alarm is determined and resolved.

Library Computer Use

All faculty/staff who are currently employed by Collin College have full access to library computers. The library computers are accessed by way of Log-on ID and password obtained through the Help Desk. Computers log off after 60 minutes, but faculty/staff are eligible to log back on if others are not waiting.

Printing is free to Collin College faculty and staff.

Interlibrary Loan and TexShare Cards

Interlibrary Loan (ILL) service is available to faculty and staff who present a Collin College library card and whose accounts are in good standing.

Any material not owned by the library may be requested for Interlibrary Loan. The supplying library determines whether the material can be provided.

Faculty/staff may request one renewal on borrowed material. Renewal requests for borrowed materials must be made at the Circulation Desk or by phone at least 2 days before the material is due. The decision to renew rests with the lending library. Requests for renewals will not be made for overdue materials.

The borrower is responsible for all charges imposed by the supplying library, including fines.

Borrowed material must be returned to the Circulation Desk on time and in good condition.

All faculty and staff currently employed by Collin College are eligible for the issuance of a TexShare card. This card is allows faculty and staff to borrow materials from participating academic institutions. Each lending institution has rules and limitations regarding the use of the TexShare card. The borrower is responsible for all materials, fines and fees when using the TexShare card. Part-time faculty and staff TexShare cards expire at the end of the current semester. Full-time faculty and staff TexShare cards expire at the end of the current academic year and must be renewed annually.

Reserve Materials Use

Only faculty members may place materials on reserve for student use. Faculty members must complete and sign a "Library Reserve Processing Form" before reserve items can be prepared for reserve circulation. The form is available at the Circulation Desk. Faculty members can designate the reserve materials for In-Library Use Only or for limited checkout. The Reserve materials are returned to the appropriate faculty at the end of the reserve use semester to comply with Copyright Guidelines.

The use of the Ereserve system is available to all faculty. By placing material on the Ereserve system, the material can be made available electronically through the Collin College library website. Further information on Ereserves is available at the library Circulation Desk.
